Improve your JHSCHaving an effective JHSC has numerous benefits, such as:

Think of the agenda as the JHSC road map to improved efficiency and efficacy
Why Use a Meeting Agenda?
Think of the agenda as the road map your JHSC meeting is going to follow. Agendas help keep meetings on track. Since they list the topics that will be discussed, in the order they’ll be discussed, an agenda is a powerful tool that prevents meetings from getting derailed by off-topic conversations. This is key to keeping the JHSC efficient.
|
A JHSC meeting agenda also helps the JHSC remember to discuss everything that’s required. The JHSC meeting agenda is prepared in advance, and all members receive a copy. If anything is missed, it can be added before the meeting. This also helps ensure that JHSC members arrive prepared for meetings. When the JHSC uses agendas, there are no surprises, everyone is prepared, and the meetings start and end on time because no one was late, and the discussion stayed focused on the issues that matter. This is indicative of a JHSC that’s running at peak efficiency.
Is an Agenda Mandatory? The Occupational Health and Safety Act (the Act) does not set out a requirement for the use of meeting agendas. However, it is considered to be best practice to use agendas. Agendas keep the JHSC efficient and effective, and they also act as a framework for the JHSC meeting minutes, which are mandatory under the Act.

Nothing makes your JHSC more effective and efficient than training JHSC members
What is Included on a JHSC Meeting Agenda?
Basic Information
JHSC meeting agendas will include basic information, such as:
Review of Prior Minutes and Old Business There should always be a review of old minutes and old business. The JHSC can confirm the minutes from the previous month, and tie-up any old business. An efficient JHSC does not allow old business to get carried over month-to-month. If a particular issue keeps getting remanded, make it a goal to get it resolved. |
Incident Summary
If there were any incidents, accidents, injuries, new reported illnesses, or near misses, the JHSC should discuss them. They must attempt to determine a root cause and make recommendations so that it does not happen again. This would also be an appropriate time to review the first-aid log, which should be done at every meeting. Workplace Inspection and Audit Results The JHSC should go over the monthly workplace inspection notes. There should be recommendations put in place for any identified hazards. The JHSC may discuss the best solutions or options for controls. Policy or Program Changes Updates If there were updates or changes to any health and safety policies or elements of the health and program, the JHSC may discuss those. Or, if changes are required, the JHSC may be consulted and give recommendations for improvements or revisions. |
|
New Business
The JHSC meeting agenda should include new business to be discussed, including any new incidents or issues that have arisen, new feedback from workers, or any results from a Ministry of Labour, Training, and Skills Development inspection. Other Business Leave a bit of space on your agenda for any other business that may come up. Allow for flexibility to add to the agenda before the meeting as well, especially if something happens that may change the recommendations. |
Get Trained
Nothing will make your JHSC more effective and efficient than JHSC training. Having certified members on the JHSC ensures that your organization is compliant and operating properly. However, training all JHSC members is even better. Ensure that all JHSC members get certified. Members who are already certified can benefit from JHSC Refresher training.
